The World Council for Gifted and Talented Children (WCGTC) is responsible for the personal information processed through this portal. Questions or requests about your information can be sent to headquarters@world-gifted.org.

Information we use and why

  • Account and membership information, such as your name, email, affiliation, role and membership status, to authenticate you and provide the appropriate portal access.
  • Applications and supporting records, including contact details, answers, uploaded documents and reviewer decisions, to evaluate and administer affiliate, student-membership and conference-bid requests.
  • Committee and governance records, including attendance, motions, votes, comments, action items and files, to conduct and preserve WCGTC governance activities.
  • Expense and banking information to review and reimburse authorised expenses and maintain financial records. Full banking details are encrypted and subject to additional access controls.
  • Technical and security information, including IP address, browser information, login events and security-attempt records, to secure the portal, prevent misuse and investigate problems.
  • Communications, including recipient, subject, delivery status and relevant correspondence, to operate the workflows above and keep an administrative record.

Our legal reasons

Depending on the activity, we process information because it is necessary to provide a membership or application service you requested; to meet legal and financial-record obligations; or for WCGTC's legitimate interests in administering membership, governance, events, expenses and information security. Where the law requires consent for a particular optional use, we will ask separately and you may withdraw it.

Who receives information

Access is limited to authorised WCGTC personnel, Executive Committee members and reviewers who need it for the relevant purpose. We also use service providers for membership administration, hosting and databases, Google Workspace services (including Gmail and Drive), and email delivery. Information may be disclosed when legally required. We do not sell personal information.

International processing

WCGTC and some service providers may process information outside your country, including outside the European Economic Area. Where GDPR requires it, WCGTC uses an applicable adequacy decision or contractual and other safeguards for those transfers. Contact us for information about the safeguard applicable to your information.

How long we keep information

We keep information only while it is needed for the purpose described above, WCGTC's governance and institutional record, applicable accounting or legal requirements, or the handling of a dispute. Security-attempt records are normally removed after seven days. When information is no longer needed, it is deleted or anonymised. The period varies by record; contact us for the period applicable to a particular record.

Your choices and rights

You do not have to use this portal. If you would prefer to apply, submit information, or communicate by another available method, contact headquarters@world-gifted.org before submitting. Some information is nevertheless necessary for WCGTC to assess an application, provide membership services, reimburse an expense, or meet legal obligations; choosing not to provide it may mean we cannot complete that activity.

Subject to applicable law, you may ask to access, correct, erase, restrict or receive a copy of your information, or object to processing based on legitimate interests. You may also complain to the data-protection authority in the EU/EEA country where you live or work. Send requests to the email address above. We may need to verify your identity before fulfilling a request, and some records may have to be retained despite a request.

Information about other people

If you give us another person's details—for example, an affiliate officer or student supervisor—please share this notice with them and make sure you are authorised to provide the information. We use those details only to process the relevant application, contact that person, and maintain the resulting administrative record.

Cookies

The portal uses a strictly necessary session cookie to keep you signed in, protect forms and maintain security. It is not used for advertising. The portal cannot operate correctly without it.
